What does CCS Training Do?

How does it all Work?

The Following is an excerpt from the CCS Training Program:

Simply stated, the CCS Training Program Tracks, Schedules, and Reports on the Training status for any group of individuals. Requirements, scheduling, delinquencies, completion's, qualifications, refreshers, etc. are constantly updated and maintained. Through it's extensive reporting capability, you always know where you stand and what is needed to be in full compliance with any regulations or requirements imposed upon your COMPANY and EMPLOYEES. The Following discussion briefly outlines how it all works.

Seven main Files (tables) come together to form the heart of the Training Program.

Clicking on the Table below will take you to the Entry/Edit Form for the table. The Form describes the role the table plays and how to Add, Edit and delete records for the Table.

2. TAGS Table.

3. The EMPLOYEE TAGS Table.

4. TITLES Table.

5. TITLES TAGS Table.

6. EVENTS Detail Table.

7. Training Status Table.

Note:Several other tables are used by the CCS Training Program, however they are not relevant to this discussion.

Each Active EMPLOYEE has one or more EMPLOYEE TAGS.

Each Active Training TITLE has one or more TITLES TAGS.

The CCS Accounting Program then internally "Joins" the EMPLOYEE TAGS with the TITLES TAGS to create a list of Requirements which is written to the Status Table.

As an Example:

Assume EMPLOYEE John Doe, is an Electrician and you have added the TAG "ELEC" to his TAGS list. (He may have many other TAGS as well).

When you add a particular TAG to an EMPLOYEES TAG list, you are saying that this EMPLOYEE needs to have all the training that is associated with the TAG.

Note: The TAG ELEC is not hardwired (defined by CCS) you may have any name for any TAG. You define the tags, and what they mean, once setup, the TAGS are automatically given to EMPLOYEES based on their CLASS, CRAFT, and CREW assignments.

Further Assume you have the following Training TITLES that each have the "ELEC" TAG in their TITLES TAGS list. (They may have many other TAGS in their list as well)

TITLE ID DESCRIPTION
ELEC101 Electrical Safety 101.
ALL Orientation -- All EMPLOYEES
FIRE_HAZ Fire hazards -- First responder.

When you add a particular TAG to a TITLE, you are saying that this TITLE is applicable to (required by) all EMPLOYEES who have the same TAG in their TAGS list.

Creating a TITLE without any TAGS is also valid and will cause the training to be available but not required.

Based on the above example: EMPLOYEE John Doe will be required to complete the following Training: ELEC101, ALL, and FIRE_HAZ. (He may also be required to complete many other training TITLES based on other TAGS in his TAGS list.)

He will be required to have this training as soon as he receives the ELEC TAG in his TAG list (either automatically or manually) and will be delinquent and unqualified as an Electrician until all 3 training TITLES have been completed.

To give Mr. Doe his training, A Training EVENT must be scheduled that he will attend. Programmatically, this is accomplished through the EVENTS Entry/Edit Form. When creating this EVENT you will enter the training TITLES that the training EVENT will cover. An EVENT can cover any number of training TITLES. Once the TITLES covered are entered in the EVENT. You will decide (or let the program decide) which EMPLOYEES are to attend. This can be done automatically based on need, those who work in a particular area, or by their CLASS codes and CRAFT codes. Also individual EMPLOYEES can be added to the Training EVENT manually. Regardless of how an EMPLOYEE is scheduled, the end result is the same. When the EVENT is completed each EMPLOYEE is given a status for the Training EVENT. The CCS Program then updates the Training Status Table to reflect the new training. Those who received a passing score or "C" for complete will have their status records marked as completed and the date of the completion. Additionally if there is to be a refresher course the refresher date will be calculated and updated as well. Once they complete all the training that a particular TAG requires they become qualified in that TAG.

Note: A TAG might mean they are an electrician, a painter, a welder. Or it may mean they are a Foreman, a Supervisor, a helper. Additionally it may mean that the EMPLOYEE is a EMS First responder, is able to drive a Forklift, or one who needs to maintain a commercial drivers license, or absolutely any relationship you care to define. CCS Training does not define the training or TAGS you will work with, you do, what CCS Training does is bring it all together and keep it straight.

That's all you really need to know to get started. There are many routines not discussed here such as the reevaluate utilities, adding and removing TAGS automatically, importing/exporting etc. You will find each of these discussed elsewhere within the help pages, additionally the above skimmed over all the details on how to enter TAGS, EMPLOYEES, TITLES etc. each of these are discussed in great detail within these help pages as well, however; the above discussion outlines the heart of the logic behind the CCS Training Module. The most important part is that: You define who needs what training and when, there is no limit to the number of EMPLOYEES, TAGS, TITLES, EVENTS or status records. Whether you have 20 EMPLOYEES or 20,000, need to comply with OSHA, EPA, DOT or who ever, the CCS Training Program can handled it.
